Our team of experienced conference planning professionals is available, year-round, to assist you with your event planning through our convenient one-stop-shop. Conference Services can work on your behalf to assist with conference management logistics such as registration and processing. We have world-class instructional facilities, modern, air-conditioned accommodations and Western’s own award-winning dining services, all in a beautiful, resort-like setting 20 minutes from downtown London, Ontario.

Whether you are planning for a group of 50 or 4,000 delegates, we have the resources and knowledge of the University as well as the City of London to enable us to custom-tailor your program, according to your requirements. The campus has lecture style rooms and floor spaces that can accommodate 20-500 individuals, meeting spaces for breakout rooms and lounges, flexible classroom spaces, and audio-visual equipment for technical needs. Dear Conference Services:

As the local host for ASV 2015 it was a distinct pleasure working with the crew at Conference Services.  As academics and scientists we do not have a clue on how to organize meetings.  Thankfully though, in working with a professional and courteous staff the process became much simpler and the experience was very enjoyable.  Conference Services at Western has organized hundreds of meetings and they are fully aware of the fine details required to make an event be successful.  This is not an easy task especially since delegates were coming from over 25 countries across the world.  Moreover, the catering service provided by Western was second to none and delegates were very impressed.  Our marquee event was the banquet where we hosted 1,200 delegates to a sit-down dinner.  Conference Services was able to service our guests in under 30 minutes.  This is indicative of superior, excellent and unparalleled service.  Not only was the service efficient, the food was of very high quality and appreciated by hundreds.  One specific example that speaks volumes of this crew is the following:  when conference services understood that delegates from a specific geographic region were staying in a residence, they modified the breakfast selection menu to ensure that our guests from abroad enjoyed a taste of home.

Services

TD Waterhouse Stadium
The state-of-the-art TD Waterhouse Stadium, which opened in 2000, is conveniently located on the beautiful campus of The University of Western Ontario, in London, Ontario.

Situated near the corner of Western and Sarnia Road, the field is CFL regulation size featuring an infill turf playing surface with a 2" rubberized e-layer. Bordering the field is an eight-lane, 400-metre mondo track.

Western's new turf causes less burn on legs and is better for mobility, while also decreasing the potential for injury seen with other turf products. 

The 1000 lumens lighting is perfect for television coverage and for evening events. Spacious change rooms with shower facilities, equipment, training and referee rooms, address most of the needs of the athletes, and seating is available for over 8,000 spectators, with concession and vending services also provided. 

The fully licensed Labatt Lounge offers the perfect vantage point to watch the game. The lounge area, which can be booked for special events, accommodates 120 guests and the floor to ceiling windows provide a great vide of the north end of the playing field. Smaller meeting rooms are also available.

Home to the Western Mustangs' football team, the facility was proud to host the 2001 Canada Games, PanAm Field Hockey Championships, the World Transplant Games, the Ontario Paralympic Championships, the 2006 World Lacrosse Championships and the 2010 Special Olympics Canada Summer Games.

  • develop timelines (e.g. go live dates, early bird deadlines, and cut off dates for registration

  • provide a weekly spreadsheet to include a listing of all registrations processed
  • email receipts to the delegates after payment has been processed
  • provide a financial summary and invoice following the close of the conference
  • staff the registration desk for a few hours

These services range from $6.00 up to $32.00 per delegate; the client can choose from three different options for this service.
